Frequently asked questions

Everything people ask us before signing up — including the things we can’t do yet.

What is FoodFlow?

FoodFlow is an all-in-one operating system for restaurants, cafés and bars. It combines a point of sale for counter and table service, a kitchen display system, QR ordering for guests, inventory that deducts as you sell, staff scheduling and payroll, customer loyalty and gift cards, and daily sales and cash reporting — in one application, rather than five separate tools that don't talk to each other.

How much does FoodFlow cost?

The Standard plan is ฿790 / $22 per month for one branch, and the Multi-branch plan is ฿2,499 / $69 per month for up to five branches. Pay yearly and get two months free. There is also pay-as-you-go: prepaid day passes from ฿35 / from $1 each, where you only spend one on a day you actually open — which suits seasonal and weekend-only businesses. Restaurants billed in Thailand pay in Thai baht; everywhere else is billed in US dollars.

Is there a free trial, and do I need a credit card?

Yes — every new restaurant gets a 15-day free trial of the full product, and no payment card is required to start. You can add your menu, take real orders and decide afterwards.

Do I need to buy special POS hardware?

No. FoodFlow runs in a web browser, so it works on the Android tablet, iPad, phone, laptop or desktop you already own — that is usually the largest single cost of switching POS, and it isn't one here. If you want a receipt printer or a cash drawer, FoodFlow prints silently to supported USB and serial thermal printers and can kick a drawer attached to one. All-in-one terminals are optional, not required.

Does FoodFlow work offline, without internet?

No. FoodFlow needs a working internet connection — there is no offline mode that queues orders and syncs later. If your connection is unreliable, a mobile-data backup on the device running the till is worth having. We would rather tell you this before you buy than have you discover it during a service.

What languages does FoodFlow support?

The application interface is available in nine languages: English, Thai, Korean, Indonesian, Malay, Vietnamese, Filipino, Simplified Chinese and Traditional Chinese. Separately, you can translate your menu once and each guest sees it in their own language on the QR menu and your public page — useful anywhere you serve visitors.

Which countries and currencies does FoodFlow work in?

FoodFlow is used worldwide and works in any currency — you choose your currency, timezone, tax rate and date format when you create your restaurant, and receipts, reports and the POS follow it. Your own subscription is billed in Thai baht if your restaurant is in Thailand, and in US dollars everywhere else.

Which payment methods can I take from guests?

Cash (with change calculated and a cash-drawer kick), card, bank transfer, gift cards, store credit, and PromptPay QR where that rail is available. Bills can be split, tips and service charge added, and refunds issued against the original sale. Note that FoodFlow records what a guest paid and how — it is not a card processor, so in-store card payments are taken on your own terminal and recorded in FoodFlow.

Can guests order from their phone without downloading an app?

Yes. Each table gets a QR code. A guest scans it, browses your menu with photos in their own language, and sends the order straight to your kitchen — no app install and no account. They can order round after round on the same bill, and see what they have already ordered.

Can I import my existing menu?

Yes. Download the spreadsheet template, fill it in and upload it — you get an editable preview before anything is committed. The importer also accepts common exports from other systems, including Thai-language column headings, and creates your categories as it goes.

Does FoodFlow support multiple branches?

Yes, up to five locations on the Multi-branch plan. Each branch has its own tables and floor plan, its own cash drawer and till reconciliation, its own kitchen display screen and its own receipt numbering, and you switch between them from the top bar. Be aware of what is shared rather than per-branch today: inventory, customers, gift cards and staff records are held once for the whole business, not separately per location.

Does FoodFlow integrate with delivery apps?

Not directly. Delivery orders are handled as sales channels — you set a channel and its price markup, and record the order against it so your reporting is right. We have deliberately not built one-off integrations with individual delivery platforms; if we add this, it will be through an aggregator so it works across platforms rather than just one.

Can I get my data out of FoodFlow?

Yes. Sales, expenses, daily takings and stock reports export to Excel and PDF from the reports screens, and your end-of-day sheet is designed to be handed to a bookkeeper as-is. Your data is yours.

How is FoodFlow different from a traditional POS?

A traditional POS sells you a terminal and charges separately for anything past taking payment — kitchen screens, stock, staff, loyalty are usually add-ons or other vendors' products. FoodFlow is one subscription with all of it included, running on hardware you already own, in nine languages, with pricing that does not assume you trade seven days a week.

How do I get help if something goes wrong?

There is a Help Center with step-by-step guides for every part of the product, and you can contact us from the site. Live service status for the app, database, authentication and payments is published publicly so you can see for yourself whether an issue is ours.

Still deciding?

Start a free trial and put a real menu in it. Nothing to pay, no card, and you can export anything you enter.
